Level 4 Games Evaluation: Trello


What is Trello?

Trello is a free visual work website known for being a very useful project management tool used to help with different type of projects. It is a tool used to help teams identify, plan and manage their work, no matter how small or big the project is. Whether you and your team are starting something new or trying to get more organized with your existing projects, Trello adapts to any project. It is used widely for personal organization, team project management, agile development, content planning, and more, thanks to its flexible and user-friendly interface and you simplify and standardize your team’s work process. You can pack a ton of detail into each card, and they let you know who's working on what, at any given time. One of the key components Trello uses to manage work is boards. These represent a place to keep track of all the information about your project. For example, a board could be a project you're working on, like "Website Redesign" or "Marketing Campaign. The Trello board is helpful to organize all different tasks and little details while also collaborating with your teammates. Trello organizes tasks into a list organized in their various stages of progress. Lists can be used to create a workflow where cards are moved across each step in the process from start to finish, or simply act as a place to keep track of ideas and information.  Within each board, lists are used to organize tasks into different categories or stages. Commonly, lists represent the stages of a workflow, such as "To Do," "In Progress," and "Done." However, they can be named and arranged to suit any organizational structure. 

How can Trello help a game development team?

When it comes to something like a games development team, Trello can be an effective tool by helping to organize tasks, manage workflows, collaborate, and track each of the teams progress. For example, a team can create separate boards  for different phases of game development such as "Pre-production," "Production," "Testing," and "Launch. The lists can also be used to represent milestones or major phases within each board, such as "Concept Art," "Game Design," "Programming," "Level Design," "Sound and Music," "QA Testing," and "Marketing." Task management is a big part of managing a game project. Each task or feature can be a card with detailed descriptions, checklists for subtasks, attachments for design documents, and links to relevant resources. The person who is running the trello board can assign team members to specific cards to clearly define responsibilities and can give deadlines for when a specific task needs to be completed. Labelling lists with titles such as 'To do', 'In progress', or 'Done', will help the team track the status of the tasks and how far they are from being completed. By using Trello, a game development team can streamline their workflow, enhance communication, and keep everyone aligned on the project's goals and progress. It also helps with making sure each team member is getting involved with the project and makes sure they always have a task to work on instead of being left out of the project.  Trello also integrates with many other applications such as Slack, Google Drive, Jira, and GitHub, which enhances its functionality and ease of use within existing workflows.

How did my team use it? (Examples)

Me and my team sued Trello while we started to develop on our Unreal engine videogame project. As we started development on the game, we used a trello board to keep up to date with what tasks were being worked on and which ones needed to be completed. The trello board was called TeamSpaceHorror as we were working on a Sci-Fi/Space horror videogame. The tasks were listed in different sections labeled: 'Ideas', 'To do-Mechanics and Tech', 'To do-Assets', 'To do-environment', 'Doing' and 'done.  The ideas list was incase the team add any additional ideas to add the game during development, the to do list was for all the tasks that hadn't been started working on yet but needed doing, such as assets or mechanics. 'Doing' was for tasks that ere in the middle of development and 'Done' were for all the tasks that had been completed so far and were ready to be sent over and put into the unreal project. Each card was also labeled with a team members name so the team knew which tasks were assigned to each member. For example, a lot of tasks which were assigned to me were creating different assets using the 3ds Max software such as a bed, chair, tables, cupboards etc. Once these tasks were completed, I labeled them to 'done' on the board and then emailed them so they could be imported into our project. This tool was useful to begin with as it helped with managing the team and were able to keep up with how many tasks were completed and what ones still needed to be completed. 

Advantages and disadvantages

Trello is a versatile and user-friendly project management tool with many advantages to help with managing work and developing big projects. Trello is an easy to use website as it consists of a drag and drop interface, making it accessible to all users of technical levels. It also involves quick setup with setting up boards, lists, and cards, making it all straightforward and allowing teams to start using it quickly without a steep learning curve. Changes can be made by team members are updated in real time, ensuring everyone has the latest information and are all up to date. Trello can also be useful with improving the teams communication skills as it includes, commenting, mentions, and attachments within cards facilitate clear and direct communication among team members. One disadvantage of trello could be that for very large projects, Trello can become cluttered and harder to manage, as it lacks some advanced project management features. Also while Trello is flexible, the level of customization in terms of layout and design is limited compared to some other project management tools. Trello also does not natively support advanced task dependencies, resource management, or detailed timeline tracking, which can be critical for complex projects. Despite this, the website is an excellent tool for many project management needs, particularly for small to medium-sized projects and teams looking for a simple, visual way to organize tasks. However, its limitations in handling more complex project management requirements and advanced features may necessitate the use of additional tools or integrations for some users, but it still should help with your team being more organized when managing one or a variety of different projects, especially suited for small to medium-sized teams and simpler projects.

How would I use it in the future?

Using Trello effectively in the future involves leveraging its features to enhance personal productivity, team collaboration, and project management. There are some ways I could potentially use Trello for personal use in the future after college. For example, I can use Trello to keep up with simple tasks that I need to complete during the day or the week like for a future career. I can use separate boards to organize daily, weekly or monthly routines. It could also be useful for planning days out or upcoming big events. By customizing Trello to fit my personal needs and regularly updating it, I can enhance your productivity and keep your personal life organized.
